Gatehouse Intercompany Tracking

The purpose of Inter Company Tracking is to connect Roll Off Tickets to Gatehouse Transfers. The feature should only be used to connect one single weighted/volume Transfer Item within a Transfer to an existing Roll Off Ticket.

 

 

Within Gatehouse, the Roll Off Truck icon in the upper right offers two options: 

  1. 1. The blue "InterCompany Tracking" link which opens the InterCompany History window where historical Transfers linked to Roll Off Tickets can be viewed or edited, along with their corresponding information.

  3. 2. "Link to Transfer" link which opens the "Add Truck" interface. Here an ID can be entered, which should be the Roll Off Ticket Number, though anything can be added here. Next, the active Transfer should appear in the "Transfer" dropdown which links the Transfer to the Roll Off Ticket. Next, a Box # field is available to place the Container Number if desired. Lastly, a Comments field is available to notate the link.

  5. Note: It is possible that a previously completed Transfer appears in the Transfer dropdown in the "Add Truck" interface. Selecting this Transfer does not attach those historical Transfer Items to it.


 

Export/Import

Exporting the linked Transfers out of Gatehouse and importing them into Accu-Trax occurs in the same export file as any other Gatehouse Export-to-AT file works. When importing, the linked Transfers will appear in the Roll Offs line and the Account charges line. 

 

 

By default, the Roll Off records frequently do not match.  However, selecting 'Edit' to open the Gatehouse Manager window allows the user to double click the unmatched line and match it to an existing Roll Off Ticket. If the Box # is filled with an existing container, it will find any Roll Off Tickets that have the entered container assigned to it. Otherwise, it displays all open Tickets sorted by TicketNumber descending. 

 

 

 

Once the Roll Off links are matched and imported, Accu-Trax will update the Disposal records for all associated Roll Off Tickets. If multiple Transfers are related to a single Roll Off Ticket, then only the most recent Transfer weight/volume will update. If both a weight and volume are imported (using separate Transfers), then both the most recent weight and most recent volume will update. 

 

 

By default, only the first weighted Transfer Item will be imported to the Roll Off Ticket, even if there is a volume item listed before it on the Transfer in Gatehouse. If there is no weighted Transfer Item, then the first volume Transfer Item will be imported.

 

Additional charges can be added to the Transfer, but the weight, volume, or quantity of these additional items will not be recorded in the Roll Off Ticket. This allows special charges to be applied to the Accu-Trax account without affecting the Disposal section of a Roll Off Ticket.

 

 

Limitations

The purpose of the InterCompany Tracking feature is to aid in linking Roll Off disposal tickets. It is not a comprehensive feature that allows great variability for several reasons. Each Roll Off is assumed to only have one calculated weight/volume. Therefore, the following feature limitations correspond to that logical constraint.

 

  •  If a Transfer has both a weighted item and a volume item, it will default to recording the weighted item.
  • Only the first Transfer Item is recorded for each InterCompany Transfer and only the newest imported record will update the Roll Off Ticket, therefore only 1 weight Transfer Item and 1 volume Transfer Item can correspond to a Roll Off Ticket. However, to add both weight and volume to the same Roll Off Ticket, the weighted item must be the only Transfer Item on the Transfer. Likewise, the volume item must be the only Transfer Item on the Transfer. Then both Transfer tickets will be imported into Accu-Trax Office for the single Roll Off Ticket.

 

For proper recording, ensure that only one Transfer Item is listed per Transfer if it is to be associated with a Roll Off ticket. We do not recommend trying to add multiple Transfer Items to a single Roll Off Transfer.
