Account Search 

Accu-Trax's powerful search function can help locate a record from almost any piece of information. While the basic search functions are easily grasped, this section is designed to help  get the most out of Accu-Trax Account Search. 

To open the search screen select "Account" at the top-left of the home screen.
 


The Search Account screen will open in a new window.

  • At the top of the screen there is a search box where any piece of information can be entered. 
  • Make sure you clear the Search bar before searching using a specific filter.



Opening a Customer record from the search screen:

Double click the row.

Select the row and hit "Enter".

Right-click the row and click "Open in New Tab." This will leave all current customer tabs open, and open a new tab for the selected customer record. .

Click the "Open Top 10" to open each of the top 10 search results in a new tab. This can be useful in situations where customers have similar names. This will not affect any tabs which are already open.

Main Search Bar 

The main Search bar has the following properties:

Search terms are separated by spaces. A phone number with a space in the formatting, such as (541) 321-4321, will therefore be treated as two separate search terms:"(541)", and "321-4321".

Search will match each term to all or part of any field. Wildcards are not needed in the main search bar.

  • For Example, if  searching for John Walter Smith,  enter "oh walt ith".
Search will look at all visible fields for a match.

Adding additional search terms will limit results to only those records that match All search terms.

  • The order in which the search terms appear is not taken into account 
  • Each search term may match a different field, or they might all match the same field.

Search Types 

There are nine different search types available, depending on which information is needed.

Search by Account: This function will search by Account Number, Name, Billing Address, and Contact Information. Each record will only display once.

Search by Service Address: This function will search by Account Number and Service Address. The same record may show under multiple service addresses.

Search by Bill: This function will search by Account Number, Name, Invoice Number, Billed Amount, and Billed Date. The same record may show under multiple bills.

Search by Transaction: This function will search by Account Number, Name, Transaction Number, Reference Number, Transaction Description, Transaction Amount, the User who logged the Transaction and Batch Number. The same record may show under multiple Transactions.

Search by Route Stop: This function is similar to search by Service Address, but allows the User to group results by various columns. For full explanation see below.
 
Search by Tag: This function will search by Account Number, Name, Tag Type, Tag message, Tag Create Date, and the User who created the Tag. A single customer will be displayed one time for each tag on the record.

Search by Online-BillPay: This function will search by Account Number, Name, Unique ID, Registered?, Username, Email, Paperless?, and Autopay?.

Search by Service Item: This function will search by Status, Account Number, Name, Service Address, Service Type, Service Area, Route Name, Route Day, and Customer Status. 

Search by Advanced: Select the Start Advanced Search and then filter as needed. For full explanation see below.

Filter Row- Basic Features 

The Filter Row allows further refinement to search results.

To add a filter, click the filter row above any of the fields.

Search results will be limited by both the information typed into the Main Search Box and what is typed into the Filter Row.

Apply multiple filters by entering data into more than one field in the Filter Row.

Anything entered into a Filter Row box is treated as a single search term, including spaces. This is different from the function of the Main Search Bar. For example, entering "SW HWY" into the Billing Address Filter Row will not display any addresses for SW Coast HWY, but would display addresses for SW HWY 101

Example: A customer calls in saying that his recycling was not picked up. He says his name is John and he lives on American Way. That search may look like this.

In this way, the Filter Row can narrow results very quickly with small amounts of information.

Filter Row - Advanced Features 

Filter Criteria 

Changing the Filter Criteria changes how the filter interprets data entered into the Filter Row. Mathematical criteria can be applied to numeric values for the text. The following Filter Criteria are available:

: Only displays records where the field is an exact match to the value entered, NO Wildcards.

: Displays all records where the field does not exactly match the value entered, NO Wildcards.

: Displays all records where the field is greater than the value entered, NO Wildcards.

: Display all records where the field is greater than or equal to the value entered, NO Wildcards.

: Displays all records where the field is less than the value entered, NO Wildcards.

: Displays all records where the field is less than or equal to the value entered, NO Wildcards.

: Displays all records that have the value entered as all or part of the field, similar to the Main Search Bar, NO Wildcards.

: Displays all records that do NOT have the value entered as all or part of the field, NO Wildcards.

: Displays all records where the field begins with the value entered, NO Wildcards.

: Displays all records where the field ends with the value entered, NO Wildcards.

: Displays all records where the field matches the pattern entered, using Wildcards to indicate variables.

: Displays all records where the field does NOT match the pattern entered, using Wildcards to indicate variables.

Wildcards 

Wildcards stand in for a variable character or series of characters within a search term. To use a Wildcard, enter a _ to represent a single character or a % to represent any number of characters. 

Wildcard searches allow for variable text in the place of the wildcard character. Multiple wildcards may be used in a search for Jon Smith:

  • J%
  • Jon S%
  • J%n S%h
  • %smith 
Or using the single character wildcard:

  • J_n Smi_h
Or, to find all addresses in the 1200 Block of a street without knowing if the street name is America or American, enter:

  • 12__America%

Filter Editor 

The Filter Editor can be used to adjust the filters already in place or to create even more complex filtering schemes.

To access the Filter Editor, click the Pencil icon at the bottom of a filtered search window:


The Filter Editor window will pop up.

  • Click on any colored field to bring up a drop-down list of choices for that field.
  • Click on any black text to edit that text.
  • Click the + to add another condition.
  • Click the X to remove a condition.
  • Any conditions under an "And" will ALL be required.
  • Any conditions under an "OR" will be options. For example if the following is present:
OR
  • Account number begins with 1 
  • Account number begins with 2 
The filter will return all records that have an account number beginning in a 1 or a 2. 
Sometimes filters that are more complex are required. Here is an example of a very complex filter:

This filter will do the following:

Find all records which have a Billing Address that fits the pattern "11__ SW Coa%".

AND the Home Phone fits the pattern "%)265%".

AND at least one of the following is true:

  • Account Number begins with 1 AND Billing Address contains "55".
OR

  • Account Number begins with 2 AND the Billing Address fits the pattern "%STEG%".
The "OR" becomes one of the requirements to meet the top "AND"

Each "AND" under the "OR" is an option. One of the two must be fulfilled for a record to display. 
The filter editor is also used for Mail Merge Advanced
