Changing Customer Information
For a list of which actions will create an entry in the Change Log see the User Guide in the Accu-Trax application at Help > Review Manual. Look for "Which changes to a Customer record will create an entry in the Change Log?"
NOTE: Special permissions my be required for the ability to utilize some of these edits / undo's. The app may not permit the action to take place or a button maybe missing.
Customer Change Log
Action: Customer Tools > Change Log.
- Customer Change Log includes a list of specific changes made to an account, the date the change occurred, the agent that made the change, what information was changed, and the old and new values of that change.
- Certain changes can be reverted by using the 'Rollback' button in the lower right of the 'Change Log' menu.
- NOTE: Some changes that are listed will offer the rollback option but may fail to revert information if changing that information will cause conflict. Accu-Trax will alert that a change has failed if rollback is not possible.
Customer Information
General Customer Information can be easily changed by selecting the 'Edit' option in the lower right of the Accu-Trax main menu.
- Fields that may be adjusted will turn white and include: Name, Address1, Address2, City/State/Zip, Email, Home, Work, Cell, Type, Bill Code, and billing preference.
Customer Information changes can be reverted using the Customer Change Log.
Comments
Comments
- Comments can be edited using the 'Edit' button in the lower right of the main Accu-Trax menu, unlike Memos and Tags.
Comment changes cannot be reverted using the Customer Change Log.
Memos
- Memos can be edited using the 'Edit' button in the lower right of the 'Memos' window. This will open the 'Edit Memos' menu. Select a Memo and select the 'edit' option to access the 'Popup' checkbox and the Message text. You can also delete a memo here.
Memo Message can be reverted using the Customer Change Log. Memo 'Popup' changes cannot be reverted.
Tags
- Tags can be edited using the 'Edit' option in the lower right of the 'Tags' window. Select a tag and select 'Edit' to change Active status, Tag Type, Service Address the tag is applied for, and the tag Message. It is possible to delete tags here.
- NOTE: the 'Tag' box also has an option to View Inactive tags.
Tag Message, Active status, Address can be reverted using the Customer Change Log. Tag Type cannot be reverted.
Customer Contact
Customer Contacts can be edited from two menus.
- Select a contact and quickly edit Action and Response text by selecting the 'Edit' option in the lower right of the main Accu-Trax menu.
- Select a contact and select 'Edit' in the upper right of the 'Customer Contact' window. This opens a 'Customer Contact' menu where the Contact Type, Info, Service Address, Action, and Resolution can be edited.
Customer Contacts changes can be reverted using the Customer Change Log.
Other Information
Other Information type and entries can be edited by selecting the 'Edit' option in the lower right of the main Accu-Trax menu.
Other Information changes cannot be reverted using the Customer Change Log.
Status
Customer Status is an important feature that assigns specific account, reporting, and billing behaviors based on which status is set for that customer.
- Status can be quickly changed by clicking the dropdown arrow to the right of the status description and selecting 'Change Status'. This opens the 'Change Customer Status' menu where a New Status and A New Status Start Date may be selected.
- The start date is helpful for scheduling future statuses and setting temporary start/stop accounts or scheduling vacations.
- Status History can be accessed by clicking the dropdown arrow and selecting 'View History'. This opens the 'Customer Status History' menu where all status changes and dates (past, present, and future) are displayed.
- Status changes set to take effect on the current date or future dates can be reverted. Right-Click the 'Change Status' button and select 'Undo Most Recent Status'.
Status changes that have already passed cannot be undone. In this scenario, it is best to contact Accu-Trax Support as soon as possible for assistance.
Status changes cannot be reverted using the Customer Change Log.
Transactions
Action: Double-click on the Transaction to open a new window.
- Delete a transaction - May need higher level permissions for this button to show up.
- Change Transaction Amount - See the Change Amount button.
- Change Date, Type, or Description.
- Accessible Change Log for Transaction changes only.
- NOTE: When reverting Transactions using the 'Rollback' option, an error may appears stating: "Unable to revert Edited to original value". If this message appears, this is the system stating that an edited transaction cannot go back to unedited - not that the rollback has failed.
- "Unable to revert 'TransactionTypeId' to original value" may also appear if the 'Type' was edited. All other changes will be reverted, however, the 'Type' must be manually reverted using the 'Edit' feature.
- Autopost Date can be edited to prevent Accu-Trax from posting charges to a transaction whose charges have already been posted via 'Block Autoposting'. If Autopost was blocked by mistake, simply select 'Undo Autopost Block' from the same menu.
- Right-Click the date box to the right of 'Autopost Date' to access these options.
- It is not possible to undo Autopost blocking if that period is already current or has passed.
Transaction changes cannot be reverted using the Customer Change Log.
Services
Action: Right-Click > Edit/Change Service or Double-Click to open 'Edit Service' menu.
- Stop will stop a service at a specified stop date later than the start date. Accu-Trax offers the ability to prorate the service if the customer was already billed and to add or edit driver notes to alert drivers of this change.
- Change allows the user to change services, routes, quantity, and service start date for an existing service. This is helpful if a customer decides to upgrade/downgrade their frequency or volume, or the date they receive service.
Services with a start date set in the future have two extra editing options:
- Cancel Service will stop the service and hide its record. To display cancelled services, select 'View History'. Cancelled services will have a red 'X' icon displayed to the left. This is useful for services added by mistake.
- Change Start provides the ability to change a scheduled service start date. This is helpful if a customer changes their mind about their new service.
Service changes cannot be reverted using the Customer Change Log.
Routes and Driver Notes
View Route Stop
Action: Double-Click a route under the Routes menu.
- Editing routes that are attached to services will need to be edited using the 'Edit Services' > 'Change' menu.
- Changes made to route Sequence or Driver Text can be viewed and reverted by selecting the 'History' menu and clicking 'Rollback'.
- Existing routes may have their driver information and sequence number edited through the 'Edit' menu.
- Route Manager offers the ability to maneuver the route stops through sequencing with assistance from a visual map display.
- Route manager is accessible for a specific route under the 'View Route Stop' menu in the lower left. An overview of all routes is accessible by selecting the 'Routes' dropdown from the main menu and selecting 'Route Manager'.
Route Notes
- Driver/Route Notes set for future actions can be edited or removed by selecting 'Route Notes', selecting the Date this note is set to print, and choosing an option displayed on the lower right.
- The edit function allows for adjustments to the Route Date, Route Number, Sequence, Print Date, Note Type, Color, and Note Text. Notes may also be copied.
Route changes cannot be reverted using the Customer Change Log.
Roll Offs
Find a Roll Off ticket that needs adjustment and double-click to access the 'Manage Roll Off Ticket' menu.
- From this menu, select the 'Edit' option in the lower right to populate adjustable fields. Dispatch Facility, Description, and Deposit information may be edited this way.
- If the roll off date has not passed, changes can be made to specific service information by selecting the 'Set ____' option. This allows edits to Delivery, Pickup, Transport, and Disposal.
- Roll Off services are sequential, so the previous service may need to be set before the following service can be edited.
- I.e.: To 'Set Disposal', the Pickup must already be set. To 'Set Pickup', the Delivery must already be set and the roll off ticket must be created. Etc.
- NOTE: Roll Off changes cannot be reverted. Reverting information must be handled manually.
To find available roll off tickets:
- Select the Roll Off menu icon of a truck on the left side of Accu-Trax main menu.
- Select Roll Offs > Ticket Lookup from the dropdown menu at the top of Accu-Trax main menu.
Roll Off changes cannot be reverted using the Customer Change Log.
Company Settings
Action: System Tools > Settings > Revert.
- Any changes made in the Company Settings menu can be reverted prior to saving.
- See the "Revert" button at lower left of window.
- NOTE: All changes made while the 'Company Settings' menu is open will be reverted. Any changes that were saved prior to selecting 'Revert' will need to be manually reverted.
Company Setting changes cannot be reverted using the Customer Change Log.
