How to Change the Service AreaĀ

In Accu-Trax, Service Areas provide variability in pricing and other Service options. Therefore,Ā simplyĀ changing the Service Area on an existing Service Address with active Services is not possible. There are three possible situations for changing the Service Area.

The Service Address Does Not Have an Active Service

In this situation, simply changing the Service Area is possible.

  • Double-click the desired Service Address to open the details window.
  • Select 'Change Service Area'.

  • The Change Service Area window will populate. Choose the desired New Service Area from the dropdown selection of all active Service Areas.

  • The following message will appear. Read the message carefully, then select 'Yes' to continue.

  • The Service Area is now updated for the selected Service Address.

The Service Address Has Scheduled-to-Start Service(s)

If the Service Address has a Service that isĀ scheduled-to-startĀ (indicated by this symbol:Ā Ā ), then the prior steps will also work for changing the Service Area, with a couple additional steps. This only works if all listed Services areĀ scheduled-to-start.

  • Double-click theĀ scheduled-to-startĀ Service(s) to open the Edit Service window.
  • Select the 'Stop' button with the downward arrow and select 'Cancel Service'.

  • A warning message may appear indicating that the Service may already have charges generated through the Autopost Date and to review these transactions to make necessary adjustments.
    • Select 'OK'.
  • Another message may appear indicating that Driver Notes may already be created and to review them.
    • Select 'OK'.
  • Continue with the previously stated steps.

The Service Address Has Active Services

In this situation, it is not possible to use the same method as before. The Service Address and all of its services must also be stopped for the Service Area to change.
NOTE: Since Services offered and their pricing or frequency can vary between Service Areas, make sure that these Services are also available in the desired Service Area before continuing, and review all other details about the Service to ensure that they are accurate.

  • Double-click the desired Service Address to open the details window.
  • Select 'Stop' and enter a Stop Date.Ā
    • Choose a Stop Date set in the past. Make sure that it does not land on a scheduled Service date. Since the Stop and Start Date are both inclusive, and since this Service will be restarted on that date, the charges would be accounted for twice.
    • Take note of this Stop Date.
  • If the current or future months have already had their transactions Autoposted, Accu-Trax will ask to manually add a retroactive credit. Since the Service Address and Services are being restarted, a credit will not be necessary. This is because the new copy of the Service Address and Services will have their Autoposting blocked in a later step.

  • All Services for this Service Address will also be stopped along with the Service Address.
  • Select 'New Address' in the upper right of the Service Address pane.
    • If the 'Add Service Address: Is the customer moving?' message appears, select 'No'.
  • The 'Add Service Address' window will populate.
    • Enter the identical Service Address information.
    • IMPORTANT: Change the 'New Address Service Area' to the desired Service Area.
    • Do not forget to Geocode the address again by selecting the Map icon. (SeeĀ How to Geocode an AddressĀ for more information.)
    • Select 'Save' once finished.

  • Select 'Yes' to Create New Service Address.

  • The Service Area will now be changed for the Service Address.
    • Do not forget to add the Service and Route back to the customer. (SeeĀ How to Add a New ServiceĀ for more information.)
    • Since the old version of this Service Address and its Services and Routes will still be displayed as stopped, the information, Service Frequency, Route Day, Route Name, and Sequence can still be referenced when adding those Services back to the new version of this Service Address.
After the Services and Routes are added back to the Service Address, the final step is to block Autoposting for the new version of this Service Address.

  • Double-click the old version of this Service Address to review the Autopost Date.

  • Then double-click the new version of this Service Address to open the details window.
  • Right-click the empty Autopost Date box and select 'Block Autoposting'.

  • Select the 'Block Autoposting through' date to the old Service Address' Autopost Date.

  • The Autopost Date will now be in red, indicating that is has been manually adjusted.
NOTE: If a mistake has been made in blocking Autoposting, right click the Autopost Date field again and select 'Undo Autopost Block'.

NOTE: If a mistake has been made in stopping the Service Address, seeĀ How to Restart a Stopped Service Address for more information.
